Understanding Your Invoices Page: A Comprehensive Guide for Affiliate Program Managers

The Invoices section can be accessed by clicking on the Invoices tab in the navigation. This essential tool helps you manage and track the invoices related to payments you've made to your affiliate partners. This guide will walk you through each element of the page, explaining its purpose and how to use it effectively, whether you're new to affiliate marketing or looking to better understand your invoice processes.

 

At the top of the page, you'll see:

  • A Dropdown menu labeled "Last 30 Days" (or another time period). This is your date range picker, a powerful tool for focusing your invoice view on specific time frames. Here's how to use it:
  1. Default View: The default setting is "Last 30 days"
  2. Preset Options: Clicking on the dropdown reveals several preset options:
    • Today: Shows only today's invoices
    • Yesterday: Displays invoices from yesterday
    • Last 7 Days: Shows invoices from the past week
    • Last 30 Days: The default view
    • This Month: Displays all invoices from the current calendar month
    • Last Month: Shows invoices from the previous calendar month
    • Lifetime: Shows invoices from the date you joined PartnerPilot
  3. Custom Range: For more specific date ranges, select "Custom Range". This allows you to input exact start and end dates for your invoice view.

Invoice Table - Your Detailed Invoice Information

This table provides a comprehensive view of all invoices:

  • Invoice ID: A unique identifier for each invoice.
  • Date: When the invoice was generated.
  • Partner Name: The affiliate who issued this invoice.
  • Amount: The base amount of the invoice before tax.
  • Tax Amount: The amount of tax applied to the invoice.
  • Total Amount: The total amount of the invoice, including tax.
  • Actions: A "Download" button to get a copy of the invoice.

Table Controls

Above the table, you'll find several useful controls:

  • Columns: Customise which columns are displayed in the table.
  • Filters: Narrow down the invoices based on specific criteria.
  • Density: Adjust how compact the table appears.
  • Export: Download the invoice data for your records or analysis.
  • Search: Quickly find specific invoices or partners.

Pagination

At the bottom of the table, you can:

  • Choose how many rows to display per page.
  • Navigate between pages of invoice data.

Downloaded Invoice Details

When you download an invoice, you'll receive a PDF file containing:

  • Invoice ID and Date
  • Billed To: Your company's details
  • From: The affiliate partner's details
  • Item description (usually a service fee)
  • Subtotal, VAT (if applicable), and Invoice Total

Use cases: 

  1. Record Keeping: Regularly download and save invoices for your accounting records.
  2. Tax Compliance: Use the tax information on invoices to ensure proper tax reporting.
  3. Partner Performance Tracking: The frequency and amounts of invoices can give you insights into which partners are performing well over time.
  4. Budget Management: Use the invoice history to track your affiliate program expenses and plan your budget accordingly.
  5. Dispute Resolution: In case of any disagreements, you have easy access to official invoice records.

Understanding the Invoices Page in Context:
